Scope & Roles
This Privacy Policy applies to the Wheeler & Associates, Inc. website and related online tax payment and account inquiry services (the "Services"). Wheeler & Associates, Inc. ("we," "us," or "our") collects and manages ad valorem taxes on behalf of various political taxing authorities. When you use the Services to look up an account or make a payment, we process information as needed to provide those tax collection and taxpayer services. We also process limited diagnostic, security, and service-improvement data about use of the Services.
Information We Collect
- Account & Property Data. Property account numbers, owner/taxpayer names and mailing addresses, amounts due, payment history, and related tax roll information provided by appraisal districts and taxing authorities.
- Payment Information. When you pay online, payment card or bank account details are handled by a PCI-compliant payment processor. We do not store full card numbers on our systems.
- Contact & Change Requests. Information you submit through contact forms or requests to update mailing or ownership information.
- Usage & Device Data. IP address, device/browser type, pages visited, timestamps, performance diagnostics, and crash/error data.
- Support Communications. Information you provide when contacting our office, including problem descriptions and related documents.
How We Use Information
- Provide tax account inquiries, statements, receipts, and online payment processing.
- Authenticate access, prevent fraud and abuse, and secure the Services.
- Respond to taxpayer inquiries and process change-of-information requests.
- Send transactional notices related to payments, account activity, or service changes.
- Analyze aggregate usage to improve reliability, performance, and user experience.
- Comply with law, enforce agreements, and protect Wheeler & Associates, our clients, taxpayers, and the public.
Where required, we rely on appropriate legal bases (for example, performance of a contract or official duties, legitimate interests in securing and improving the Services, or your consent).
How We Share Information
- Taxing Authorities & Appraisal Districts. We share information as needed to perform tax collection and reporting duties for the jurisdictions we serve.
- Service Providers. We use vetted vendors (for example, cloud hosting/storage and payment processors). They may only use data to deliver contracted services and must protect it appropriately.
- Compliance & Safety. We may disclose information if required by law or to protect rights, safety, and security.
- Business Transfers. In a merger, acquisition, or asset sale, data may transfer subject to this Policy or a policy with equivalent protections.
We do not sell personal information.

We retain tax account and payment-related records as needed to provide the Services and to meet legal, auditing, and record-retention obligations applicable to property tax collection. Limited logs and backups may be retained for a reasonable period for security, continuity, and legal obligations.
Your Choices & Rights
- Access/Correction. Tax records are maintained as public records subject to applicable law. You may contact our office to request corrections to contact or mailing information where appropriate.
- Payment Records. Online payment confirmations and receipt details are available through the Services after a successful payment where supported.
Children's Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child's data has been submitted through the Services, contact us and we will act appropriately.
International Transfers
Information is processed and stored in the United States and other locations where we or our providers operate. Where required, we use appropriate transfer mechanisms and safeguards.
Changes to this Policy
We may update this Policy from time to time. Material changes will be posted on this page. Your continued use of the Services after an update signifies acceptance of the revised Policy.
